When you choose a registered office, you choose more than an address on a document. You choose where your company’s official letters arrive, the address your clients see and, sometimes, the place where you meet your partners. So before you compare prices, it pays to know exactly what you get for them.
What a registered office is
The registered office is your company’s official address, recorded with the Trade Register. It is where you receive mail from institutions, banks and partners. Many founders don’t want their home address in the company’s documents, so they host the registered office with a provider.
Registered office hosting or virtual office: the difference
The two terms are often used interchangeably, but the services can be very different:
| What you compare | Address hosting only | Virtual office in a coworking space |
|---|---|---|
| Company address | yes | yes |
| Mail handling | usually | yes |
| Notification when mail arrives | varies | yes |
| Scanning and sending by email | varies | yes, with your consent |
| People at the address every day | not always | yes |
| Room for client meetings | rarely | yes, by reservation |
What happens to your mail
This is where most problems start. An official letter left uncollected for weeks can mean a missed deadline. At Hublou, your company’s mail arrives in the registered office mailbox, we collect it every day and let you know when something arrives. With your consent, we scan it and send it to you by email or WhatsApp, so you don’t have to come in for every envelope. Scanning is included in the plan.
How to choose a provider: questions to ask before you sign
- Who receives the mail, and how soon will you know it has arrived?
- Can it be scanned and forwarded? What does that cost?
- Are there people at the address during working hours?
- Can you hold a meeting at your company address?
- How long is the contract, and how is it paid?
- Which documents do you need, and how long until you receive the papers for the Trade Register?
Why prices vary so much
A bare registered address, with nothing else, can be found at low prices paid yearly. A virtual office in a real workspace costs more, because there are people at the address who handle your mail and a space where you can meet clients. At Hublou, the virtual office costs RON 499 per month, VAT 0%, and includes a professional address in Sector 1, registered office hosting, mail handling, notification and scanning. Until 31 October 2026, the October subscription is 10% off: RON 449.
